Job Description:
A Customer Service Officer in a multi-family office is responsible for delivering high-touch service to ultra-high-net-worth clients and their families, acting as a key liaison between clients, their advisors, and the middle office team
Key Responsibilities:
- Serve as the main point of contact for assigned clients, responding promptly to service requests and inquiries via phone, email, or in-person meetings.
- Build and maintain strong client relationships by understanding client needs, anticipating requirements, and delivering personalized service.
- Coordinate client onboarding, ensuring all documentation, regulatory requirements, and account setup procedures are completed accurately and efficiently.
- Facilitate communication between clients, investment professionals, tax advisors, legal counsel, and other external parties to support integrated wealth management and family office services.
- Support administration of client accounts, including transaction processing, cash movements, payments, and portfolio implementation in collaboration with middle office & investment teams.
- Maintain up-to-date client records and ensure accurate documentation in internal systems, adhering to compliance and confidentiality standards.
- Handle client complaints or escalations professionally, troubleshooting issues and coordinating with relevant experts to resolve complex matters.
- Stay informed about firm services, investment offerings, and industry best practices to provide expert guidance and proactive support
Qualifications and Requirements:
- Bachelor’s degree in finance, Business Administration, Accounting, or a related field preferred.
- Minimum of 2-5 years’ experience in customer service in banks or financial institutions.
- Experience handling confidential client information and complex administrative tasks.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook) and other relevant software.
- Familiarity with financial systems, client relationship management (CRM) platforms, and document management tools.
- Excellent verbal and written communication skills, including ability to explain complex financial concepts to non-experts.
- Strong interpersonal skills to build relationships with high-net-worth clients and coordinate with advisors and internal teams.
- Detail-oriented with strong organizational and time management skills; able to multi-task and prioritize workload in a fast-paced, client-driven environment.
- Demonstrated ability to manage sensitive information with discretion and integrity.
- Ability to interpret financial reports, assist with account administration, and support transactions.
- Proactive problem-solving, initiative, and process improvement mindset.
- Adaptable and optimistic approach to challenges and changing client needs.
- Collaborative, with proven ability to work as part of a team.
